1. Purpose

This Advance Payment Policy establishes the terms and conditions governing deposits, advance payments, and final payments required for booking tours, travel packages, transportation services, accommodations, and other travel-related services offered by Inca Roca Travel (“the Company”).

By confirming a reservation, the client agrees to comply with this Policy.

2. Reservation Confirmation

To secure a reservation, clients are required to make an advance payment (deposit) as specified at the time of booking.

A reservation shall be considered confirmed only when:

• The required advance payment has been received by Inca Roca Travel.
• The Company has issued written confirmation of the booking.
• All necessary passenger information and documentation have been provided.

The Company reserves the right to cancel any unconfirmed reservation without prior notice.

3. Deposit Requirements

Unless otherwise stated in writing, the following deposit requirements apply:

Standard Tours and Packages

• A minimum deposit of 30% of the total booking value is required to confirm the reservation.

Customized Tours and Private Services

• A deposit of 50% of the total booking value may be required due to supplier commitments and operational arrangements.

Services Requiring Immediate Purchase

Certain services require full or partial payment at the time of booking, including but not limited to:

• Machu Picchu entrance tickets
• Inca Trail permits
• Train tickets
• Domestic flights
• Special event tickets
• Government-issued permits

Such services may require up to 100% advance payment.

4. Final Payment

Unless otherwise specified in the booking confirmation:

• The remaining balance must be paid no later than 30 days prior to the start of the service.
• Reservations made within 30 days of departure require full payment at the time of booking.

Failure to complete payment by the specified deadline may result in automatic cancellation of the reservation.

5. Payment Methods

Inca Roca Travel accepts the following payment methods:

• Credit Cards
• Debit Cards
• Bank Transfers
• PayPal
• Other approved electronic payment methods

Clients are responsible for any:

• Bank fees
• Wire transfer charges
• Currency conversion fees
• Credit card processing fees
• International transaction fees

unless otherwise agreed in writing.

6. Non-Refundable Deposits

Advance payments may include amounts used to secure services from third-party suppliers.

The following items are generally non-refundable once purchased:

• Machu Picchu entrance tickets
• Inca Trail permits
• Government permits
• Train tickets
• Airline tickets
• Special reservations subject to supplier restrictions

Any applicable refund shall exclude non-refundable expenses already incurred by the Company.

7. Payment Currency

All payments are processed in:

United States Dollars (USD)

Unless otherwise indicated in writing.

If payment is made in another currency, the applicable exchange rate shall be determined by the payment provider or financial institution involved in the transaction.

8. Late Payments

If the client fails to pay the balance by the due date:

• The Company may suspend booking services.
• Reservations may be cancelled.
• Previously paid deposits may become non-refundable.
• Additional fees imposed by suppliers may apply.

9. Booking Modifications After Payment

Requests to modify confirmed reservations may be subject to:

• Availability
• Supplier approval
• Administrative fees
• Additional charges

Advance payments already used to secure services may not be transferable to new dates or services.

10. Cancellation and Refunds

Refunds for advance payments are subject to:

• The Company’s Cancellation Policy
• Supplier refund conditions
• Government regulations
• Service-specific restrictions

Approved refunds will be processed using the original payment method whenever possible.

Processing times may vary depending on banks, payment processors, and financial institutions.

11. Fraud Prevention

Inca Roca Travel reserves the right to:

• Verify payment information.
• Request identity verification.
• Reject suspicious transactions.
• Cancel bookings associated with fraudulent activity.

Any fraudulent payment activity may be reported to the appropriate authorities.

12. Force Majeure

Advance payments remain subject to supplier policies in cases of:

• Natural disasters
• Government restrictions
• Political instability
• Transportation disruptions
• Public health emergencies
• Other force majeure events

Inca Roca Travel will make reasonable efforts to obtain credits, rescheduling options, or refunds when available, but cannot guarantee reimbursement for services already paid to third parties.

13. Acknowledgment

By making an advance payment to Inca Roca Travel, the client acknowledges that they have read, understood, and accepted this Advance Payment Policy and agree to comply with its terms.
